How to order on USFans
This guide walks through the full shopping-agent path on USFans: you bring a marketplace link, the platform buys and receives it in China, you inspect warehouse photos, then you pay international shipping to your address. It is written for people who discover items on this spreadsheet site and want a concrete checklist before opening usfans.com.
Two ideas to keep in mind the whole way through. First, USFans help copy describes agent orders as two separate payments — product (plus China domestic delivery to the warehouse), then international shipping when you build a parcel. Second, nothing on a spreadsheet card replaces your own order: catalog estimated USD prices, preview images, and “Catalog QC” thumbnails are for discovery only; your unit is whatever arrives at the warehouse and appears in the free photo set.
If you already purchased from a seller yourself and only need a China address plus outbound shipping, that is Forwarding, not DIY Orders. The warehouse steps look similar, but you never pay USFans for the product — only storage, optional services, and international lines. This article focuses on DIY Orders; Forwarding is summarized in the comparison table below.
DIY Orders vs Forwarding
| DIY Orders (agent buy) | Forwarding (ship-only) | |
|---|---|---|
| You provide | Product URL + SKU choices | Tracking / inbound info for goods you already bought |
| First payment on USFans | Item price + seller → warehouse shipping | Usually none for the product itself |
| Who talks to the seller | USFans purchaser | You (seller ships to warehouse address) |
| Typical free storage window | About 90 days (see live rules) | About 60 days (see live rules) |
| Best when | Spreadsheet link → agent checkout | You used a Chinese payment app yourself |
Storage day counts and fees are explained in Warehouse storage. Do not mix the two flows in one mental model — pick the track before you pay.
Step 1 — Shortlist on this spreadsheet
Use category pages (sneakers, hoodies, bags, and so on) instead of scrolling an endless mixed list. Each card should open the live listing on Weidian, Taobao, 1688, or another supported host. If a card is stale, treat the spreadsheet as a pointer and search again on the platform — agents cannot buy a dead link.
What the card shows vs what checkout shows
- On this site — estimated USD, category tags, maybe a public QC snapshot from another buyer’s batch
- On USFans after paste — live CNY price, domestic shipping quote to the warehouse, weight hints, optional note field
- At your door — item + international line + any customs/VAT your country charges (not on the agent product invoice)
Seller reputation and listing accuracy still matter. Help-center wording is clear: the agent executes the purchase you specify; they do not certify that every random listing matches luxury retail standards. Read reviews on the marketplace, compare photos, and accept that some categories are higher dispute risk than others.
Step 2 — Submit DIY Orders (first payment)
Log in to usfans.com and open DIY Orders (wording may vary slightly in the menu). Paste the full product URL from the address bar — not a share card, not a shortened redirect, not a search results page. Select variant, size, and quantity on the USFans form so it matches the SKU you verified on the listing.
Link hygiene by platform
- Weidian — use the item page URL; mobile “口令” copies sometimes need to be opened in a browser first
- Taobao / Tmall — paste the canonical item link; avoid cart or shop-home URLs
- 1688 — wholesale listings may have minimum quantities; confirm MOQ before you pay
Before you confirm pay, read the line items: product subtotal, China domestic shipping to the USFans warehouse, and any optional add-ons you ticked (extra photos, priority purchase, etc.). Official charging summary: purchasing-agent service on regular platform orders is described as no separate service fee beyond product and shipping — value-added services bill separately.
Published total formula (orientation): Total ≈ item cost + international shipping + destination customs, where item cost = product price + domestic shipping (seller → warehouse). International shipping is not due in this step unless you are on a different product type; for standard agent buys it comes later.
Payment methods and wallet
Help center lists PayPal, card, Google Pay, and account balance among available methods — always confirm the live checkout screen. Refunds from sellers or cancelled lines usually return to USFans balance, not instantly to your card; see Payment for mechanics and Clear Balance cases.
Step 3 — Purchase, inbound, and warehouse QC
After the first payment, USFans staff review the order and place it with the seller. Timing is seller-dependent: holidays, presales, and made-to-order listings can stretch “average days to warehouse” shown on the product page. Use the account order status labels instead of assuming a fixed calendar.
Typical status chain (agent buy)
- Process Pending — queued for purchaser action
- Ordered / purchaser placed — seller has the order; wait for domestic tracking
- Shipped (Local) — seller handed off to China courier toward the warehouse
- Received / Stock Arrived — inbound processing; free warehouse photos usually appear in this window
- Stored — item is in inventory and eligible to add to an international parcel
Statuses that need your action include Confirmation Pending (clarify SKU, price change, out of stock choice) and Clear Balance (price adjustment requires top-up). Ignoring these can pause or cancel the line — respond in the order thread or top up before the timeout shown in the app.
The QC gate (do not skip)
When photos upload, open them on a large screen. The default set is meant for general appearance — logo placement, colour, obvious defects — not microscopic authentication. If something looks wrong, you are still in China: returns and exchanges are easier before you pay international shipping. Full angle list and paid detailed photos: Warehouse QC photos.
While items sit in Stored, a free storage timer runs (agent orders vs Forwarding differ). Plan consolidation before you are near the limit — Warehouse storage.
Order notes that purchasers can use
The message box is short for a reason: staff forward actionable facts to sellers. Write measurements, variant names, and packaging preferences — not “please get the best batch.”
- Foot length in cm when the size chart uses EU/US inconsistently
- Exact colourway text copied from the listing title (Chinese + English if both exist)
- “No shoe box” / “keep box” / “remove tags” — only if the listing allows it
- Whether you accept split domestic shipments (two courier packages for one order)
Step 4 — Consolidate and ship (second payment)
When every line you want in a parcel shows Stored, open Warehouse (parcel submit). Select items, enter the delivery address, run Estimation if the UI offers it, and compare lines (speed vs cost vs volumetric rules). Submit the parcel; that triggers the international shipping charge — usually an estimate first, then settlement after the warehouse packs and weighs.
Consolidation checklist
- All selected rows passed warehouse QC — you already clicked through photos
- Nothing still in Confirmation Pending / unpaid Clear Balance
- You understand volumetric weight for bulky goods (Shipping)
- Destination phone and postal format match carrier requirements
- You know customs is your risk at delivery country
Optional services at pack time may include rehearsal (weigh before final line), vacuum bag, remove boxes, or extra padding. Each adds cost or time; tick only what you need. After dispatch, parcel-level tracking replaces item-level tracking — see Order status for the handoff from warehouse to international line.
Money timeline (one parcel)
- Day 0 — First payment: product + domestic shipping to warehouse
- Days 3–15+ — Seller ships domestically; status moves to Received / Stored (variable)
- Before parcel — Review QC; optional paid photos; decide keep vs return while still in China
- Parcel submit — Second payment: international line (estimate → pack → final weight → refund or top-up to balance)
- Delivery — Customs/VAT/carrier fees may apply outside USFans’ shipping bill
Common mistakes (expensive ones)
- Using a shortened or mobile wrapper URL — DIY parse fails or pulls the wrong SKU
- Choosing size from a spreadsheet thumbnail instead of the listing’s variant matrix
- Paying international shipping while the item is still inbound or in dispute
- Assuming spreadsheet “Catalog QC” is your unit’s photos
- Letting Stored items run down the free storage window during a “waiting for one more shoe” parcel
- Picking the cheapest line without reading volumetric divisors for a box-heavy order
Quick FAQ
Can I cancel after first payment? Only while the order is still cancellable under USFans and seller rules; once purchased, you are in marketplace return logic — see Returns.
Why is checkout CNY different from the card USD? Cards here are estimates; live rate and seller price win on usfans.com.
Do I need an account before pasting? Yes — you need a logged-in wallet to pay the product payment and receive status updates.
